Restaurant Media Group (“RMG,” “we,” “us,” or “our”) operates Restaurant Media Group OS(the “Service”), a client portal available at os.restaurantmediagrp.com. This Privacy Policy explains how we collect, use, store, and share information when you use the Service, including when you sign in with Google or connect Google Calendar.
By using the Service, you agree to this Policy. If you do not agree, please do not use the Service.
1. Who this Policy applies to
This Policy applies to:
- Clients — restaurant and hospitality businesses and their authorized users who access the portal
- Staff — Restaurant Media Group team members who administer the Service
- Visitors — people who view public pages such as this Privacy Policy or Terms of Service
2. Information we collect
Depending on how you use the Service, we may collect:
- Account information — name, email address, phone number, business name, role, and profile photo
- Authentication data — one-time codes sent by SMS or email; if you use Google Sign-In, basic profile information (name, email, and profile image) provided by Google
- Business & onboarding content — form responses, uploaded files (logos, menus, brand assets), meeting details, messages, and checklist progress
- Calendar data (staff only, with consent) — when a staff member connects Google Calendar, we access calendar events and related metadata needed to show schedules and booking context in the Service. We do not request calendar access for ordinary client sign-in
- Communications — messages sent through the portal chat, and related notification content (email/SMS)
- Technical data — IP address, browser type, device information, and basic usage logs needed to secure and operate the Service
3. How we use information
We use information to:
- Provide, maintain, and improve the Service
- Authenticate users and protect accounts
- Run client onboarding (forms, checklists, meetings, messaging, and resources)
- Send transactional emails and SMS (sign-in codes, reminders, notifications)
- Sync or display calendar information for authorized staff who connect their Google Calendar
- Provide support and respond to requests
- Comply with law and enforce our Terms of Service
We do not sell personal information. We do not use Google user data for advertising or independent data brokering.
4. Google user data (Limited Use)
If you sign in with Google or connect Google Calendar, our use of information received from Google APIs complies with the Google API Services User Data Policy, including the Limited Use requirements.
- Sign-In: We use Google identity to verify you and create a session for an existing RMG OS account. We do not create open public registrations from Google alone.
- Calendar: Staff may authorize access so the Service can read (and where configured, work with) calendar events for client scheduling and internal operations. Access is granted only after explicit OAuth consent and can be revoked in Google Account settings or by disconnecting in the Service.
- Google user data is used only to provide or improve user-facing features of the Service. It is not used for serving ads, sold to third parties, or used for creditworthiness or lending decisions.
5. How we share information
We may share information with:
- Service providers who process data on our behalf (for example hosting, database, email delivery, SMS delivery, file storage). These providers are bound to process data only as needed to provide their services
- Restaurant Media Group team members assigned to your account, so they can deliver marketing and onboarding services
- Integrations you or we enable for your engagement (for example messaging tools), solely to operate those features
- Legal and safety — when required by law, or to protect rights, safety, and security
6. Data storage and security
We use industry-standard safeguards appropriate to the nature of the data, including encrypted transport (HTTPS), access controls, and restricted administrative access. No method of transmission or storage is 100% secure; we work to protect your information but cannot guarantee absolute security.
7. Data retention
We retain information for as long as your account is active or as needed to provide the Service, resolve disputes, enforce agreements, and meet legal obligations. When information is no longer needed, we delete or de-identify it according to our operational practices.
8. Your choices and rights
Depending on your location, you may have rights to:
- Access the personal information we hold about you
- Correct inaccurate information
- Request deletion of certain information
- Withdraw consent where processing is consent-based (e.g., disconnect Google)

9. Children
